Helpers 2024

HanamiCon would not be possible without our helpers. We therefore welcome everyone who would like to participate in HanamiCon.

Would you like to see a convention from the other side? With us you have the opportunity to do so!

After registration we will get back to you with the fixed schedule about 2-3 weeks before the con 🙂

To be a volunteer at HanamiCon, you must be at least 16 years old.

  • What else do I need to bring with me to become a volunteer?
    In order to make the best possible contribution to the success of the event, it is an advantage in all areas if you are good with people and not easily flustered. Our aim is to present visitors with a great event and every volunteer can contribute to this.
  • I would like to help, but only have time on one day
    As a helper you are involved on at least 2 main event days, i.e. e.g. Friday-Saturday, Saturday-Sunday. Please only apply if you can be there as a helper on at least 2 days.
  • Can I choose where I want to help?
    When registering as a volunteer, you can specify the areas in which you would prefer to help. Please note, however, that we cannot fulfill every request and it may happen that helpers have to be assigned to areas that do not correspond to their wishes.
  • What do I get in return?
    Of course you have advantages as a helper: You get a ticket for the entire convention, food and a HanamiCon crew shirt.
  • I would like to become a helper! Can I see anything at all from HanamiCon?
    Each helper has a fixed number of hours that they must provide for the event. In most cases, your shift plan is drawn up together with the area managers and there is usually enough time for everyone to look at one or two items on the program. But there is no guarantee that you will get time off at a certain time.

The helpers will be registered with our partner association during HanamiCon in order to record the information for the assignment. This data is stored for the purpose of recording working hours and quality assurance until revoked. The data will only be passed on to the following parties:

Areas of responsibility:

Here is a brief overview of the different areas (Attention! These are only brief descriptions to give you an insight into what the activities can be) Each area receives a briefing on its activities!

  • Gaming area: Monitoring of devices, assistance for visitors in operating the various devices.
  • Host Club Host: In the Host Club you can immerse yourself in conversations, discover new sides to yourself and spoil your guests with personal guddis. You must be at least 18 years old to work as a host.
  • Driver for guests: pick up and drop off at the airport/hotel, you will need your own car, fuel costs will be covered.
  • Checkroom: Guests hand in their jackets, coats, bags and other items at the checkroom. It is important to label the wardrobe items properly to ensure that they are later returned to the correct owners. Customer service: Cloakroom staff should always be polite and helpful.
  • Security: Depending on the classification: admission control, surveillance: emergency exits, crowd, identification of suspicious activities, communication: employees, event organizers, emergency services. There is detailed training for the security staff on site. You must be at least 18 years old to work as a security guard.
  • Cash desk: Money management: As a cash desk employee, you are responsible for accepting money from visitors to the event. You must ensure that incoming payments are processed correctly and properly.
    Ticket sales: You sell tickets to visitors.
    Customer service: As a cashier, you are often the first point of contact for visitors who have questions or problems. You need to be friendly and helpful to answer questions, listen to concerns and offer support if necessary.
    Technical knowledge: We work with an electronic cash register system. In this case, you should have basic technical knowledge to operate them effectively. On-site training of the POS system.
  • Bar: preparation of alcoholic and non-alcoholic drinks This includes mixing cocktails, tapping beer, serving wine, etc.
    Customer service: As a bar employee, you will be responsible for greeting guests, taking orders and providing them with friendly and efficient service.
    Cashiering: You take payments and issue invoices to guests. Here it is important to work carefully and accurately to ensure that all transactions are accounted for correctly.
  • Bar helpers: bring drinks when they run out at the bar
  • Information stand: Providing information: You are responsible for providing visitors with information about the event, the program, the participating companies/organizations or
    products/services. You should be well informed about the topic of the event and the exhibitors in order to be able to answer questions.
    Answering questions: Visitors will have questions about the program and the event itself. You should be friendly, knowledgeable and helpful to answer their questions or direct them to the right person.
  • Jumper: Flexible deployment: As a jumper, you are prepared to take on various positions and tasks during the event, as required.
  • Service: Guest service: welcoming guests, providing information about the café menu, making recommendations and answering questions.
    Taking orders: Receiving guests’ orders for drinks, snacks or food.
    Cashiering: Accounting for orders, accepting payments (cash or credit cards) and giving change.
  • Washing up: washing dishes, cleaning glasses, drying dishes
